Job Description

This role will help support administrative tasks across the business, from HR to financial to client support and marketing.

People support

  • Help with organization of team events
  • Help with PDP processes
  • Ensure all policies and procedures are up to date
  • Help with holiday calendar management
  • Assist with HR matters, including the coordination of recruitment and PDP
  • Completing starters and Leaver checklist for all staff including providing new staff inductions
  • Coordinate any IT and systems issues for the team

Support of financial tasks:

  • Invoicing: issuing and tracking invoice payments
  • Ensure all new clients set up on systems
  • Support on monthly reports to the team
  • Managing logging of all expenses for all UK staff
  • Managing payment of supplier invoices (in liaison with Head of Finance)

Hours/budgeting for client accounts

  • Support on monthly client hours allocation
  • Updating of hours tracking tool in line with hours allocation
  • Ensure all new clients set up on system

Executive assistant to the directors

  • Responsibility for working closely with UK MDs and supporting the smooth administration of the business, identifying areas of improvement and suggesting new processes etc.
  • Support on diary management of directors
  • Attendance in meetings for minute taking and follow-ups, tracking the progress of actions on behalf of MD / preparation of meeting materials (e.g. research/presentations)
  • Liaison with partners

Marketing team support

  • Acting as secretary to relevant internal meetings, including prep and dispatch of minutes and notes
  • Updating client database and generating system reporting
  • Helping with travel arrangements of the team
  • Maintenance of an effective and up to date filing system to ensure the easy retrieval of relevant materials
  • Co-ordination of meetings and client events (including room set up and distribution of marketing material)

Required Knowledge, Skills, and Abilities
Excellent organization skills and ability to multitask. Strong communications skills (both written and oral), including liaison with senior management. Self-motivated. Ability to learn quickly. Strong team player with experience of working in a small team environment. Ability to cope well and remain calm under pressure and to turn work around quickly. Strong problem-solving skills. Strong interpersonal skills. 1 years minimum Extensive Office Management I EA experience for PR/ marketing consultancy. Experience of working with a broad level of the organization and liaison with senior management.
