Job Description
The new Governance Administrator will be responsible for the administration for the governance committee structure. They will provide administrative support to the Governance Directorate and will be the expert on minute taking/record keeping and action tracking and all governance database systems for example Datix, Corestream, and Perfect Ward. The post-holder will gather and provide information for dashboards, reports and presentations.
This is an excellent opportunity for an experienced resilient administrator with strong IT skills and ideally some previous experience in the healthcare setting – although other settings would be considered.

What would be my responsibilities be my responsibilities as the Governance Administrator:
- To lead on the administration support including minute taking, diary management, filing,
- scanning, action planning and other ad hoc tasks identified for the Governance Committees and the Governance Directorate
- To ensure the appropriate documentation is produced and circulated in advance and following a hospital meeting in a timely manner
- Validate all Key Performance Indicators on a daily basis working closely with the Quality
- Improvement & Patient Safety Manager to ensure all relevant evidence is available for the monthly executive sign-off
- To gather the data needed and input into the Quality Governance dashboard within timescales

- Carry out administrative tasks as directed by your line manager.
- To manage and be the expert user of all Governance Database systems providing support to colleagues
- To support the functionality of the Governance Database systems working closely with IT and the training department
- Prepare accurate and validated reports from Governance Database systems for monitoring and reporting purposes
- Monitor and triage the Governance Inbox
- To carry out ad hoc audits and spot checks as instructed by the Directorate
- To gather, collate and provide the information needed for reports and presentations
- To assist in evidence gathering and recording where directed by your line manager
- To assist the Director of Governance & Risk in the administration and evidencing gathering for all governance as and when required
- Be responsible for the development and maintenance of the electronic filing and storage systems for the Governance Directorate
- To assist with sharing information with the practicing privileges team for consultant validation and appraisal enquiries
- Dealing with telephone enquiries in a helpful manner to ensure queries are resolved or redirected (if applicable) efficiently. Be the first point of contact for all governance queries
- To manage the team rotas, annual leave, invoices and mandatory training trackers
- Letter drafting, filing, photocopying, printing and scanning where required
- Attend department meetings and hospital meetings as required
- To undertake any other appropriate functions under the direction of your line manager
Am I the right person for this Governance Administrator role?
- Good level of education – A levels or equivalent
- Expert Microsoft Computer skills – PowerPoint/Word/Excel
- Minute taking proficiency
- Action plan recording proficiency
- Minimum 12 months administration experience
- Experience and confidence with working with a range of IT databases
- Excellent written and verbal communication and presentation skills.
- Well-developed computer and keyboard skills
