Job Description
The role is suited to somebody with prior accounting/bookkeeping experience who is self-motivated and able to solve problems using their own initiative.
In your role as Accounts and Administrative Assistant, your main duties will be to manage the day-to-day accounting and administration of our businesses. The successful candidate will also support the sales team and be responsible for managing and expanding the groups social media accounts.
Location
The successful applicant will mainly work from our Central London office weekdays from 9am -6pm. However, our office is likely to relocate close to our Power Station in the Basingstoke area during the course of the next 12 months.
Areas of responsibility include:
- Preparing Invoices, sending Invoices to clients and chasing late payments.
- Issuance and provision of purchase order information in order to assist with placing orders according to approved budgets
- Creation and adaption of Cashflow forecasts
- Responsible for keeping the accounting system (Xero) up-to-date, and editing templates where required
- Maintain virtual office filing systems
- Assisting with the management of the CMS
- Assisting sales with information, costs and quotes
- Tracking and paying company and employee expenses
- Responsible for overseeing the holiday matrix
- Completing supplier payments and keeping track of recurring payment schedules
- Running reports and interpreting and sharing with the team
- Managing VAT returns in accordance with HMRC guidance
- Managing the day-to-day company administration and overseeing the delivery of administrative projects
- Assist with diary management and co-ordination of staff meetings
- Liaising with external suppliers
- Record keeping in line with internal regulatory procedures
Experience
- Prior commercial experience working with accounting software (experience of Xero would be advantageous)
- Flexible, with the ability to work under your own initiative
- Strong organisational and time management skills
- Experience using Microsoft packages including Word, Outlook and Excel & generally IT literate * Strong understanding of bookkeeping & best practices and procedures
- Able to deliver good customer service and represent the company in written and spoken communication
- Educated to at least GCSE level (or equivalent) in Maths & English
- Salary dependent on experience
