Job Description

My Client, a medium sized accountancy practice are looking for a friendly, organised and professional individual with a solid Reception/Admin background to join the growing team on a full time and permanent basis.

This is a varied role and will require someone who is exceptionally organised in their day to day working routine and has excellent attention to detail.

The successful applicant will share responsibility for the reception area, answering the phones and greeting clients, responding to general enquiries, working with courier companies, suppliers, clients, booking meetings and managing the director’s diaries. As well as inputting invoices/credit notes on accountancy system, audio typing experience preferable.

This role will suit someone who is outgoing and able to manage a busy work load, multi-task and work under pressure.

Responsibilities:

· Answering all incoming calls, forwarding to the correct person and taking accurate messages

· Communicating via telephone & email to clients and staff

· Typing documents and client correspondence and using a variety of templates, extensive use of excel spreadsheets.

· Meeting and greeting visitors in a professional and friendly manner

· Providing refreshments to clients.

· Diary management, booking meetings, meeting rooms and directors’ travel arrangements.

· Handling all incoming and outgoing mail, including franking, special delivery and couriers

· Filing, faxing, photocopying, scanning and shredding

The ideal candidate:

· Will have at least 5 years reception /administration experience.

· Be polished and professional with excellent communication skills (both written & oral)

· Able to use Microsoft Office (Word/Excel/Outlook), to a high standard

· Must have had extensive diary management experience.

· Audio typing experience preferable.
