Job Description
- Working to the direction of the relevant Company Secretary and Assistant Secretary to provide full board meeting support to certain Business Oversight Boards and Committee meetings.
- Maintaining the appropriate Board/Committee forward calendars, Actions Arising Schedule, and supporting the agenda setting process, including arranging pre- meetings
- Uploading materials to Diligent in a timely and accurate basis
- Providing cover for other members of the Team as and when required
- Working to the direction of the Investment Platform Company Secretary to manage statutory compliance for Quilter’s entities, including updating statutory records in Blueprint
- With appropriate supervision, making routine filings at Companies House
- Update the team calendar for tasks you undertake and take responsible for the tasks as allocated, including managing the Close Links process, the registered office lists and Annual Controllers Report
- Draft and review routine minutes, accounts and resolutions
- Manage the execution of corporate documentation
- Undertake Company searches at Companies House
- Provide transactional support to the Business Company Secretaries
- Providing general support to the Business Company Secretaries, including diary management and general administrative support
- Managing room and catering bookings for the Boards
- Setting dates for Business Board and Committees as requested
- Maintaining the team corporate diary
- Supporting on the management of Diligent for the subsidiary companies, including maintaining the Subsidiary User Grid; reviewing the Diligent Manual and supporting the induction of team members to appropriate use the service
- Maintaining the team corporate diary for meetings you are responsible for
- Providing cover for other team members as requested
- Take responsibility for the delivery for the items in accordance with agreed timescales

Required Knowledge, Skills, and Abilities
You will be a graduate or part qualified Chartered Governance professional, with some experience gained within a corporate secretariat function. You'll have a strong team working and collaborative working style with a high level of PC skills including Word, Excel, PowerPoint, and Outlook as well as strong administration skills.
