Job Description
  • Ensure all tasks are undertaken within the spirit of our vision, mission and values.
  • Undertake key aspects of quality assurance administration, including but not limited to:
  • Supporting the approval and verification of assessments.
  • Liaising with external examiners.
  • Tracking external examiner reports.
  • Payments for external examiners and invigilators.
  • Preparing for exam sessions.
  • Assisting with award ceremonies.
  • Secretarial support for committees.
  • Administration of institutional malpractice, academic appeal process.
  • Providing advice to staff and students, demonstrating a strong understanding of the Academic Regulations.
  • Ensure that there is appropriate, and timely, communication with the student and other interested parties demonstrating a high level of diplomacy and confidentiality due to the sensitive nature of the cases involved
  • Recording of malpractice, academic appeal decisions in strict accordance with the Academic Regulations.
  • To produce highly detailed and carefully constructed minutes.
  • Collating and storing highly confidential examination documentation and preparing comprehensive seating plans for each examination venue. This will also include communicating with academic staff and any students with additional requirements for the specific arrangement.
  • Communicating with academic staff across all Faculties, preparing examination lists, making arrangements for students with additional requirements, arranging invigilation and coordinating the setup of each examination leading and advising colleagues within the Assessment Team and making important effective decisions when confronted with any problems occurring at the examination venues.
  • Administration of and Servicing specified Award and Progression Boards including: Liaison with Faculty staff in relation to marks input on the student record system.
  • Verifying Module Board recommendations and overseeing subsequent data input on the student record system.
  • Advising the Chair of the Board in relation to institutional regulations and procedures Follow-up referred/deferred candidates as appropriate.
  • Production of transcripts and results letters.
  • Notify the Ceremonies Team of students eligible for a certificate.

Required Knowledge, Skills, and Abilities
Experience in a similar administrative role and of working successfully as part of a team a strongly developed sense of service delivery and customer/student focused approach. Strong administrative skills with proficiency in MS Office applications such as Excel, Word, Outlook Mail. Excellent clear and professional communicator both via email and telephone as well as confident in dealing with all levels of staff. A can-do attitude with well-developed problem-solving skills. Good attention to detail. Ability to work well as part of a team. Ability to work under pressure and to deadlines. The post holder must be flexible, approachable, and helpful with a strong customer service ethic. The post holder will use initiative and judgment to resolve matters. Ability to handle sensitive and personal information with tact and confidentiality. Willingness to work additional hours at peak periods as necessary to get the job done and a willingness to travel between GBS sites as required.
