Job Description
You will support and assist the Chief Sustainability Officer & Global Head Sustainability Strategy, Advisory and Finance in the below:
Extensive travel arrangements
- Arranging complex, extensive and frequently changing international travel
- Preparation of detailed itineraries and travel packs
- Ensuring all details are added coherently to the calendar
- Visa arrangements both for new countries as well as renewals for countries already visited
- Arranging all logistics including hotels, cars, foreign currency, airport meet & greet and Credit Suisse building access where required
- Liaise with international assistants to ensure all logistics are well-thought out, thorough and to a high level
- Ensuring adherence to all firm policies
Inbox and calendar management
- Full inbox management
- Complex diary management and meeting coordination with both internal and external business partners/clients – ability to juggle calendar at short notice and dedicatedly manage scheduling conflicts
- Coordination and scheduling of video/audio conferences
- Making sure printing/documents are ready in advance of meetings
- Telephone coverage; screening calls and mails, respecting confidentiality of content
Expense management
- Coordination of expenses from start to finish adhering to firm policies and ensuring that card bills are reconciled in a timely fashion
General administrative support
- Arranging couriers and taxis, filing (for principals and department), running administrative errands, liaising with administration/operations departments to address equipment needs
Additional responsibilities
- Covering other assistants’ roles when they are out of the office
- Updating the events calendar and forward planner
- Undertaking/ managing ad hoc projects as required
Required Knowledge, Skills, and Abilities
We are looking for: Good basic education (A Level preferred); Secretarial College desirable, but not essential. Degree desirable but not essential, rather individuals who are capable. Proven experience of directly supporting a senior executive is essential, within banking or a blue chip preferred. High attention to detail in every aspect of work; a sense of personal responsibility and pride in one’s work. Positive attitude: ‘can do’ approach; pleasure to do business with. Great teammate but also strong and confident in own abilities. Must have a robust nature, eager to succeed and looking for success, involvement and hard work. Excellent secretarial skills base. Microsoft Office skills, including: Word, PowerPoint, Excel and Outlook. Accurate and quick typing skills with keen ability to proofread work. Demonstrate flexibility regarding tasks, hours, and work allocated. Outstanding written and verbal communication skills. Well-developed interpersonal skillset, ability to relate to wide range of individuals at all levels and establish good relationships. Excellent organizational skills: ability to plan and organize work so that it is efficient and effective; ability to juggle conflicting priorities. Ability to analyze problems and to identify potential solutions using good judgment. Results-oriented, self-aware and ability to learn. A willing team-player who is prepared to take on additional tasks where necessary. Ability to cope under pressure; remain focused on main objectives.
