Job Description

You will support the Senior Directors in fulfilling their responsibilities, contributing to the overall success of the business through the provision of efficient and effective administrative support.

You will be expected to:

  • Work closely with the Senior Directors to ensure that tasks, such as, reports, incoming post and correspondence, management of diary/meetings schedule and email, etc., are dealt with efficiently
  • Manage arrangements for meetings, refreshments, travel, social events, etc
  • Writing letters, memos, Board Reports, schedules, etc., follow up and collate responses if required
  • Liaise with internal customers to ensure a smooth flow of information and work between departments and with Head Office
  • Arrange Functional Events, i.e. Seminars, Training and Christmas Party
  • Provide other appropriate ad hoc duties, and administrative support for other departments, as and when required.
  • Work in partnership with the Regional HR Business Partner
  • Recruitment - Manage the process in terms of adherence to policy and systems usage
  • Policy Administration - Produce / co-ordinate all employee relations/ policy letters (liaising with HR Business Partner or the HR Advisers for queries/ signing off of correct letter) for HR Policies
  • Administration and providing advice to Line Managers and Employees on Company Processes and Procedures including; Recruitment, Sickness, Flexible Benefits, Family Friendly and Leavers
  • Pay Review - Issue pay and bonus review letters in a timely manner
  • Management and Administration of New Starters
  • Ensuring the HR System iTrent is fully up to date and maintained
  • Ad hoc HR tasks as and when – e.g. information gathering and updating exercises required by group and/or others
  • Personnel Files - Maintain and ensure information is filed, is current and in keeping with audit require

Required Knowledge, Skills, and Abilities
To be successful you will have: Experience of working in a secretarial/admin role. Intermediate to advanced level of proficiency with MS Office programs and a good standard of written English. Ability to generate professional correspondence unaided. Self–disciplined, with demonstrably good time management skills and the ability to manage a number of priorities. Ability to multi-task, and work efficiently and accurately under pressure Team player, supportive of colleagues. Professional and pleasant manner in dealing with internal and external customers. Excellent telephone skills.
