Job Description
  • Anticipating potential problems that could impact the executive and co-ordinate solutions
  • Scheduling of appointments and maintenance of busy calendars with ability to make self-directed decisions regarding scheduling.
  • Coordination of meetings and events, assistance with setting agendas and taking minutes of meetings to capture actions if needed
  • Preparation of presentation materials.
  • Applies substantial knowledge in the coordination of sensitive reports and analysis (e.g. budgets and highly confidential correspondence)
  • Complex inbox management and preparation of external / internal correspondence, telephone and visitor screening.
  • Actively follow up with the team for work due for review and collation.
  • Managing expenses and ensuring prompt payment of invoices.
  • Make travel arrangements and produce itineraries.

Required Knowledge, Skills, and Abilities
Proven ability to work and make sound judgments on a day-to-day basis regarding assigned and ad hoc duties with very limited direction from the Executive. Ability to discern and communicate with the highest level of tact and diplomacy, both verbally and in writing to key stakeholders at all levels of the organization. Ability to follow complex written and verbal instruction. Strong interpersonal skills to persuade and build consensus and cooperation. Ability to work under time pressure and be available as needed by the executives. Top level detail, organizational, and logical skills. Ability to handle the highest level of confidential issues sensitively. Advanced proficiency in Microsoft Office suite (Excel, Work, Outlook, PowerPoint). Substantial experience of executive level support.
