Job Description
General
- Dealing with daily correspondence and providing administrative support
- Maintain and update subcontractor database.
- Contacting and obtaining quotations for materials and subcontract packages.
- Maintain and update Estimating folders and liaise with other departments on functional issues.
- Liaise with other Pre/Post Construction Departments.
Pre Tender and Tender Period
- Filing tender documents within Viewpoint system
- Work with Estimator to prepare the bid list in Conquest ready for send out
- Input Bills of Quantities into Conquest
- Compile bid list along with Estimator
- Liaise with key sub-contractors to assess their appetite for pricing the works
- On receipt of bid ensure Estimating have all the relative documents and correspondence
- Prepare copies of tender deliverables
- Send out all sub-contractor enquiries
- Monitor all returns on a daily basis and chase up quotations and identify areas of concern/gaps within the subs list
- Update subs lists on a daily basis and highlight any gaps in trade returns
- Print out all quotations and file
- Insert sub contract quotations into Conquest for comparison
- Assist Estimator with preparing sign off documents
Post Tender
- Ensure all sub contracts returns and lists are up to date.
- File all correspondence in the relevant network locations.
- Assisting in preparing handover documents.
Required Knowledge, Skills, and Abilities
Competent in the use of Microsoft office packages. Strong verbal and written communication skills. A good team player. Able to meet deadlines in a pressurized environment. Good organization skills. Use of Digital Management Systems. Being proactive and offer alternative/more efficient solutions. Work in a neat and organized manner. Experience in the use of Viewpoint Platform. Experience on Computerized Estimating E.g. Conquest. Previous experience in an Estimating Environment.
