Job Description

You will be the face and engine room of our central support office, responsible for ensuring optimal organization and an exceptional experience, including the coordination of events and celebrations which are a core part of being part of Receiving all incoming calls and welcoming visitors to the office, you will have impeccable people skills and a desire to always go the extra mile.

You will be responsible for the management and organization of the office, ensuring that supplies, stationery and our communal kitchen area remain well-stocked and well-presented. This role will be central to facilities and supporting the training department’s face to face training, welcoming teams into the office and ensuring the facilities are ready for training to take place. Additionally, you will facilitate the leadership team coming together by offering administrative support, diary management and taking minutes during key meetings.

You will be able to step in and support multiple departments with administrative tasks as and when required. You will be a dynamic individual with a passion for operations, who isn’t fazed by a fast-paced and ever-changing environment! You will:

  • Be the face of the Support Office, welcoming visitors and being the first point of contact for general and admissions enquiries over email and telephone. You are also the face of employee experience, welcoming team members on their first day with the company, and at training events held in the office
  • Manage bookings of the meeting rooms and training space, including sourcing external spaces as and when required
  • Provide administration support to the leadership team including regulatory administrative support and diary management
  • Receive and distribute post and performing errands as and when required
  • Support in the organization of key team and companywide events, such as our monthly managers meeting, our annual Summer BBQ and our Christmas party
  • Management of the office cleaning team, ensuring they maintain high standards of cleanliness
  • Liaise with the Facilities and Maintenance team to ensure that the office is kept in impeccable condition, and any repairs are carried out quickly and safely
  • Take minutes at key meetings
  • Create of basic presentations and information packs on behalf of the leadership team as and when required
  • Work a flexible work pattern within the office opening hours (08:00-18:00) with the flexibility to attend out of hours meetings and events as required

Required Knowledge, Skills, and Abilities
What you need to bring with you: Experience either in a relevant customer-facing or office management role. Proven track record of prioritizing and multi-tasking under pressure. A rigorous, structured and organized approach to everything you do. Experienced and competent user of ICT systems and willingness to develop skills. Must be competent in the Google suite and able to use a Mac computer proficiently. Experience of budget management and procurement. Passion and positivity (you always see the glass half full). Ability to communicate and influence clearly using a variety of techniques (oral and in writing). A love for customer service and employee experience (you really want to make people happy). Able to reflect on oneself, respond positively and improve. Exceptionally organized High energy brought to every task you take on, and a solutions-driven approach to problems. Able to manage workload and time effectively to deliver desired results. A solution-focused decision maker, with a positive, can-do attitude and the ability to achieve wildly important goals.
