Job Description
  • To provide a courteous, professional and efficient reception service
  • To work closely with the teams and respond to customer enquiries either by phone, email or face to face.
  • To make customer bookings and plan customer arrival times to reduce waiting times for leaving and collecting their vehicles, liaising with Estimators, Parts and Technicians on their availability
  • To ensure customers are fully informed of what action needs to be taken on their vehicle including obtaining their approval for additional work required
  • To prepare the invoices and related paperwork for all work carried out by the promptly and accurately and submit for payment
  • To accurately invoice all completed internal, trade and retail jobs
  • To maintain workload control spreadsheets to ensure vehicles are worked on in an efficient manner
  • To prepare the job packs and oversee the return of the vehicle to the customer confirming what work was undertaken, charges etc.

Required Knowledge, Skills, and Abilities
To have excellent written and verbal communication skills. To enjoy multitasking in a fast-paced environment. To have good administration skills and the ability to diary manage and ensure all enquiries are followed up within agreed time-frames. To be approachable and able to develop rapport and trust with customers and colleagues, and to resolve conflict situations calmly and reasonably. To have previous experience working in an administrative role preferably in the automotive industry or working with insurance companies. To have strong IT skills including the ability to use Microsoft Office, Outlook, Word, Excel to an intermediate level.
