Job Description

We are looking for an experienced business support to work with the management team. The position offers a variety of activities, including an opportunity to cover the Head of Department (HoD)'s PA roles over holiday periods, developing minute taking skills, managing calendars for the managers, supporting large multi-participant meetings, and generally being an involved in engagement the wider department.

Key responsibilities include:

  • Undertaking diary management, meeting arrangements (both internal and external)
  • Supporting managers, including liaising with internal and external contacts, creating daily packs, organising team meetings and submitting expense forms
  • Acting as a general first point of contact for team-related enquiries (internal and external)
  • Organising documents (Word, PowerPoint and Excel), agendas
  • Updating systems with all confirmed meetings and ensuring that the record is up to date
  • Monitor team inbox, filing correspondence and passing to the team for action where necessary
  • Responsibility for records management of the teams including records management induction for new joiners and audits to check compliance with records management standards
  • Working cooperatively with the PBS team to provide cover for the department and support the departmental initiatives
  • Helping with recruitment processes

Minimum

  • Experience as an administrator at the FCA or within the finance industry;
  • Strong diary management
  • Experience of supporting multiple teams or a senior manager
  • Knowledge of FCA systems;

Required Knowledge, Skills, and Abilities
An ability to communicate with people at all levels, whether internal or external Ability to deal with confidential and staff-sensitive information to FCA standards of handling information Good keyboard and IT skills including Excel, Access and Powerpoint. Good communication skills, ability to interact with people at all levels (oral & written Good organisational and time management skills, ability to prioritise and manage workload. Team player with a flexible and willing approach. Act and work on own initiative Ability to learn multiple processes and systems quickly
