Job Description
You will also provide a broad range of administrative and secretarial functions, utilizing relevant IT systems to support the delivery of our high-quality customer service. As part of a small administrative team, there may also be the opportunity to work on other key areas such as business development, marketing and day to day operational tasks. The ideal candidate will therefore, be keen to grow with the role and show enthusiasm to develop our exceptional patient relationships and services.
You will also be responsible for:
Greeting patients in an empathetic and professional manner and building a rapport throughout the day until their departure
Recording bookings and notes on the patient administration system
Answering calls and email enquiries in a professional manner
Recording accurate confidential notes on the in-house systems for each referral, ensuring any patient reports are sent out to referring clinicians in a timely fashion
Independently prioritizing and managing your own workload to ensure an efficient service is provided, being flexible and adaptable to change
Assuming responsibility for and maintaining quality and accuracy of work processed and liaising with managers on issues of uncertainty
Communicating clients' requirements with the clinical team and ensuring these are recognized in all areas
Proactively promoting the services of Preventicum
Assisting with sales projects and tasks when requested
Ensuring that stock is ordered, and correct levels are maintained
Ensuring payments including deposits and balances, are taken and invoiced promptly and accurately

Required Knowledge, Skills, and Abilities
3 + years' experience in a medical secretary role within private healthcare. Excellent verbal and written communication skills. Highly organized with attention to detail. Have experience of working on a client-facing reception desk for a luxury brand or private health clinic. Have worked to a high level as a Secretary or Senior Receptionist and have experience of typing medical reports and letters. Can demonstrate an appreciation of patient care and are passionate about providing a 5-star service for customers and colleagues. Have a genuine desire to be part of a fast-growing clinic where customer relationships are key. Have the ability to work effectively and efficiently in a multidisciplinary team. Understand the implications of the Data Protection Act, Caldicott Principles and GDPR. Are computer literate, with accurate data entry skills and attention to detail.
