Job Description

You will provide administrative, financial and organizational support to our client’s Management Team and ensure the office operates smoothly and efficiently.
You will assist in establishing and maintaining the company office and undertake a broad range of activities including overseeing IT, HR, payroll, accounting, expenses and invoicing, to support the effective operation of the office.
You will assist with receptionist duties and greet visitors, receive and sort incoming and outgoing mail and answer and direct phone calls in a professional and efficient manner.
In addition, you will provide support with grant applications and the financial administration of grant funding and prepare monthly financial reports and presentations.
You will also:

  • Set up and maintain confidential electronic and manual filing systems in accordance with the company’s legislative and contractual responsibilities
  • Manage the office and/or laboratory supplies inventory and place orders as necessary
  • Provide support with travel arrangements, expenses and calendar management
  • Set up and host meetings and events, ranging from small on-site meetings to international events
  • Research topics and issues on behalf of the Management Team, analyzing information and preparing briefing papers and reports
  • Provide media and marketing support as required
  • Support the preparation, maintenance and updating of company policies in alignment with the company COO

Required Knowledge, Skills, and Abilities
You will need: At least two+ years’ relevant experience in a portfolio, business development, project management or finance role. To be highly organized with excellent time management. The ability to plan work independently on multiple projects and achieve deliverables. The ability to work on own initiative and collaboratively as a member of the wider team. The ability to assess, organize and priorities resources. Excellent presentation and oral and written communication skills. Strategic thinking, analytical, financial and project management skills. The willingness and ability to adapt to new tasks and duties. The willingness to work outside of office hours as required. An undergraduate degree in business, finance, science or a related discipline. Experience working with senior level staff would be beneficial to your application, as would at least two+ years’ relevant experience in the pharmaceutical industry and/or biotech workspace.
