Job Description

Duties & Responsibilities:

Administration

  • Provide full administrative support to the Operations administrator as and when required, including holiday and absence cover.
  • Provide administrative support to the factory supervisors when required, such as preparing factory booklets.
  • Provide administrative support to the Warehouse manager, as and when required.
  • Attend complaint and quality meetings, ensuring accurate minutes are taken and distributed in a timely manner.
  • Provide full administrative support to the H&S Manager, including attending monthly H&S meetings, ensuring accurate minutes are taken and distributed in a timely manner.
  • Record all accident information onto Carval and other relevant spreadsheets, ensuring these have been completed accurately and within the specified time frame.
  • Update and maintain fire registers.
  • Create and maintain an accurate training log for all personnel, ensuring this is updated as and when required.
  • Co-ordinate and organise training courses as agreed with the site management team.
  • Liaise with area trainers and department managers to update or create detailed SOP documents.
  • Create purchase orders and input timesheets for agency workers.
  • Record holidays and ensure any holidays booked by the management team are recorded in the plant manager's diary.

Stock Management

  • Ensure stationery stock and paper supplies for the photocopiers are maintained.
  • Input all weekly consignment PPE stock orders onto Unity and update orders once received, ensuring that stock levels are maintained, including contacting suppliers when applicable.
  • Order items not included on the consignment stock as and when required.

General

  • Provide reception cover for holidays and sickness absence when required.
  • Organise plant tours for visitors and customers to UK Plants, ensuring that the relevant Production Manager is available, suggesting alternatives when necessary.
  • Assist in ensuring the smooth running of the Operations office and its services to staff and visitors. Ensure all factory visitors are informed of company procedures and looked after in the appropriate manner.
  • Provide weekly details of all Operations Management movements.
  • Responsible for the upkeep of the plant notice boards and relevant data management systems.
  • Ensure all new starters are allocated a locker.
  • Assist in the organising and delivering of annual BBQ's, Christmas parties and all other events.
  • Undertake such training as is viewed necessary by the company to improve personal performance or to meet the overall business objectives.

Profile

Essential:

  • Previous administration and reception experience within a busy environment
  • Computer literate with a good knowledge of Microsoft packages, including Word, Excel and PowerPoint
  • Good communication skills, both written and verbal
  • The ability to manage and prioritise workloads in order to ensure deadlines are met
  • The ability to work using own initiative
  • Excellent accuracy and attention to detail
  • Pleasant and helpful demeanour
