Job Description
You are responsible for the smooth running of the office on a day-to-day basis, maintain office procedures/policies and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety for staff and visitors.
Duties and responsibilities:
- Manage day to day facilities requests from staff
- Dealing with facilities/maintenance issues as they arise
- Monitoring, maintaining stock levels and placing orders, stationery, equipment,
- Coordinating travel and accommodation when required using Egencia
- Assisting with home workers and dealing with their requirements
- Implementing and maintaining office procedures/policies
- Ensure all facilities meet all health and safety and environmental requirements and that facilities comply with all legislation
- Arranging health and safety training, to include first aid/Fire marshal training
- Assisting with Health and Safety, DSE risk assessments using IHasco
- Maintain the meeting rooms to a high standard/order, arrange refreshments
- Book client meeting rooms as and when required using hotdesk+
- Assisting with desk booking for staff using hoteling software
- Cover reception as and when required (lunch breaks, holidays and sickness)
- Undertake building facilities checks as per Rota
- Maintain security by registering visitors using Building Maintenance Systems
- Submitting Gatekeeper requests for contractors attending site
- Reconcile credit card usage forms for Company credit card
- Assisting and organizing Company internal events
- Reviewing facilities tickets via Service now and completing actions as required
- Assisting Facilities Manager EMIEA with projects/ad hoc tasks as and when required
- To carry out such other duties and responsibilities as may reasonably require
