Job Description

This is an administrative role that works within the Procurement Team and reports to our Procurement Officer. The responsibilities of the role are split between procurement, fleet management and office facilities. We are looking for somebody who is organized, has good IT skills, excellent communication skills (both written and verbal) and has the ability to priorities workloads. Experience in Procurement is not essential but would be beneficial for this job role.

Main Tasks and Responsibilities:

  • To assist with the management of the Procurement mailbox, respond to enquiries promptly and forward emails on to the relevant departments
  • Build effective working relationships with Services in order to accurately support sourcing, procurement and cost saving requirements. Development of Services understanding of procurement and the benefits of the use of central preferred suppliers.
  • Troubleshooting any supplier and internal client queries and demonstrate continuous efforts to streamline work processes, reduce lead times and work cooperatively towards improving the Procurement Management operation
  • Manage database of company drivers, including information on live motoring offences, ensuring company safety policy;
  • To assist the Procurement Officer with office facilities tasks as required
  • Assist with the maintenance and data quality of the Proactis P2P system. Provide support to services where needed, assist with raising and receipting orders and dealing with invoice queries.
  • Manage and act as key point of contact for our fleet supplier, assisting with vehicle movements, repairs, servicing, updates of vehicle allocations etc
  • Assist with the allocation and processing of individual and monthly multibill invoices in a timely manner
  • Raise weekly external PPE orders for services and manage and update our internal PPE stock tracker as well as rotating stock
  • Assist with the management of new suppliers, obtaining the required documents and adding them to the system

  • We are flexible and will consider part-time applications
