Job Description

You would be specifically responsible for providing general office administration, effective support on valuations and projects, in a fast paced environment working for one of the world’s leading auction houses.

Key Responsibilities

  • Confident and efficient handling of client liaison face to face, telephone and written 
  • Manage the co-ordination of travelling exhibitions in partnership with the Shipping Travelling exhibition team and Business
  • Managing valuations; both formal, email, platform, and telephone, liaising with specialists from all departments, and clients.
  • General office assistance including the organization to shipping property, arranging collections, deliveries, licenses and liaising with shippers, departments and clients.
  • Participate in project work as requested, such as archiving projects, single owner sales
  • Assist with coordinating client events, such as external studio visits, lectures and tours
  • Providing support for all valuation days held within Ireland & Northern Ireland
  • Providing support to Head of Department, including: 
    • typing correspondence
    • maintaining files
    • expenses
    • scheduling when appropriate 
  • Managing office stationery supplies and liaising with suppliers
  • Assisting with sale proposals, research and proofing
  • Liaising with our external Press contacts
  • Maintain the Office website, and newsletter 
  • General accounting including Processing all vendor invoices (suppliers and external specialist consultants) through SAP
  • Maintaining complete client confidentiality at all times, adhering to GDPR requirements, and all internal compliance surrounding clients and their personal information
  • Providing excellent levels of client service in line with corporate standards, acting as an ambassador for us in both manner and appearance

Required Knowledge, Skills, and Abilities
  • Possess excellent communication skills (both written and spoken).
  • Ability to work under pressure, to multi-task, coordinate a busy schedule and priorities workload meeting tight deadlines
  • Be reliable, self- motivated and capable of working well independently and as part of a busy, highly pressurized team.
  • Be well organized, with a good eye for detail and the ability to priorities tasks.
  • Be committed to helping run the office on a day-to-day basis.
  • Be enthusiastic with a flexible approach and the ability to think on their feet.
  • Computer literate, good working knowledge of Microsoft Office particularly Word, Excel, Outlook.
  • Previous administrative or relevant experience at Sotheby's is desirable.
  • Strong numeracy and analytical skills, an organized and methodical approach to work, along with high attention to detail
  • Be a resourceful problem solver, utilizing resources and information effectively
  • Have a broad understanding of the art market
