Job Description
You must be able to demonstrate an advanced high level Assistant skillset including confidentiality, strong work ethic, good time management, resourcefulness, diligence, strong business and client deliverable focus. All applicants should have a solid EA background and skill set working with senior individuals with a strong degree of flexibility given the demanding nature of this role.
- Advanced, proactive diary/time management using Outlook
- Gate keeping both in person and over the phone
- Meeting, conference calls, telepresence set up, and offsite coordination - internally
- Finalize complex travel arrangements: co-ordination of flights, check in, VISAs, accommodation, pre-travel checks/tests/clearance and ground transportation logistics following a Corporate Policy.
- Management of expense processing through Concur following a corporate policy
- Org Chart ownership and adhoc project work/office management support
- System functionality expert - utilize internal systems, complete accurate data entry into internal management information systems and responsible for accurate collation of information to senior management.
- Support with business change management responsibilities - administration of office moves and changes to seating, joiner/leaver/transfer processes and access maintenance
- Become integral part of CCOR Ireland and understand group priorities
- General administration duties (Room bookings, filing, photocopying, faxing, catering)
- Partnership with assistants across EMEA CCOR to provide coverage for absence where necessary.
