Job Description

We are looking for a capable administrator, experienced in coordinating and planning a wide variety of daily operational and administrative functions. You will provide commercial and administrative support to the Digital and Advisory teams. The role requires a broad skill base, problem solving capability, good interpersonal and relationship building skills and flexibility. You will report to and work closely with and support the business teams and internal stakeholders.

Your responsibilities

  • Respond to general admin enquiries
  • Update and maintain team records
  • Prepare reports, letters, emails as requested, ensuring compliance with Arup standard templates and Corporate Style Guidelines
  • Organize and manage travel requirements
  • Support organization of team events, meetings, workshops etc.
  • Book meetings and take minutes
  • Participate in office related support networks and meetings
  • Preparation of team and discipline reports
  • Support internal initiatives such as salary benchmarking and accreditation
  • Support recruitment efforts
  • Support CRM updates
  • Commercial support – monitoring budgets
  • Resource coordination
  • Maintain projects in Arup systems, including job number applications
  • Monitoring and maintaining CRM/PFF
  • Follow up missing timesheets, monitor time booked to overheads and arrange time transfers where appropriate

Required Knowledge, Skills, and Abilities
  • Several years experience working in an office / corporate environment
  • Business or Information Management Degree or similar qualification (Hons - Level 7)
  • Project administration experience
  • Experience supporting large teams
  • Good Microsoft Office skills, particularly in Word, Excel, PowerPoint
  • Strong organizational skills.
  • Team player with the ability to build relationships at all levels within the organization.
  • Self-motivated and the ability to manage work within fixed deadlines.
  • Must be self-directed and able to complete projects with limited supervision.
  • Ability to multi-task and handle multiple projects at one time while meeting deadlines.
  • Excellent communicator, patient, well organized and possess excellent written and verbal skills.
  • Knowledge of engineering and professional services business would be an advantage.
  • High level of attention to detail.
