Job Description

You will be flexible, thoughtful, self-motivated, quick-thinking, and able to juggle multiple and diverse responsibilities. You should have proven complex scheduling skills, MS Office skills, and global travel management and some event planning experience.

Principal Duties & Responsibilities :

  • Professional company representative to both internal and external constituencies both as the EA for the SVP International and as the International HQ Site Office Manager.
  • Manage SVP, International Healthcare calendar - manage multiple competing requests; set up/monitor in person, virtual meetings on multiple platforms including customer meetings, ad hoc company meetings/special events and urgent meetings.
  • Act as logistics coordinator for HC International leadership meetings: prepare and distribute agendas and reserve/arrange facilities. Coordinates travel arrangements including complex international travel, anticipating transportation, lodging, meeting, and communication needs and customer travel as required.
  • You will co-ordinate all local event logistics for internal and external focused meeting as appropriate. For example, but not limited to, allocation of meeting rooms, arranging local events as necessary and sourcing appropriate suppliers.
  • You will manage reception activities and act as our first point of contact for us. Receive and direct incoming calls and guests in a professional and courteous manner and assign guests/badges in compliance with Nuance security policy.
  • Ensures our Office is maintained to a high standard and functions smoothly for the benefit of all employees.
  • Accountable to manage site suppliers/needs and relationships with vendors, suppliers, landlord and other tenants as required. Controls inventory, ordering and stocking of office and kitchen supplies. Responds and tracks facility issues using our FOOTPRINTs Ticketing System and coordinates with maintenance companies; Sort, screen, review, and distribute incoming and outgoing mail and packages.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Completes expense reports for the SVP, International

Required Knowledge, Skills, and Abilities
  • Ability to work independently with minimal guidance to drive things forward.
  • Possess excellent communication skills and exhibit a professional demeanor
  • Outstanding organizational, prioritization and time management skills.
  • Strong in MS Office Suite and expense tracking and management tools (i.e. Concur)
  • Experience taking the lead in coordinating larger customer events.
  • Strong attention to detail and ability to follow through with a high-level of accuracy.
  • Demonstrated experience exercising sound judgment and a high level of discretion with sensitive/confidential and proprietary information.
  • Flexible, results/action-oriented, ability to adapt to changing priorities in a fast paced, dynamic organization.
