Job Description
  • Coordinating office activities and operations to secure efficiency and compliance to company procedures
  • Reception - Greeting visitors and dealing with site deliveries.
  • Management and coordination of the Site 4projects system.
  • Scanning of all site documentation and filing it within 4Projects.
  • Liaising with staff in other departments and with external contacts
  • Ensure all drawings / documentation is controlled and maintained in a methodical manner.
  • Drawings - keeping drawing rack up to date with drawings and schedules
  • Maintaining & ordering office supplies.
  • Dealing with site administrative functions a timely and professional manner.
  • Collect & collate information for Management reports
  • Keeping projects drawing and documentation up to date
  • Entering and maintaining the necessary production information in Coins.
  • Assisting with general site office management duties - Filing, typing, photocopying, taking of minutes, organising couriers etc.

Required Knowledge, Skills, and Abilities
Minimum of four GCSEs grade B or above or equivalent - GCSE grade B or above in English. Excellent administration skills A high standard of IT literacy Excellent knowledge of Microsoft Office applications. Working in an environment that values high levels of quality and customer care. Main Contractor / Site Experience The management and control of the Site Viewpoint 4Projects filing system Experience of chasing site based personnel for information when required. Experience of Coins Able to work independently when required, and use own initiative. Confident and personable communication skills Ability to get buy-in from others both office and site based Thrives on a wide variety of tasks Is able to work flexibly and deal with ad-hoc tasks and changing deadlines with a positive attitude Keen to learn new software and systems required as part of the role (Coins, SelectHR)
