Job Description
Provide a secretarial and administrative support service to the Consultant Psychiatrist, his/her medical and multidisciplinary teams and any other personnel as directed
Ensure smooth running of outpatient clinics including scheduling and confirming appointments, preparing files, maintaining patient records and information, handling fees and following up on outstanding invoices
Liaise in a professional, courteous and empathetic manner with all relevant parties (patients and their families or representatives, colleagues, health-care professionals, general medical practitioners and external agencies, etc.), and extend a warm welcome to patients on admission
Maintain clear, accurate and up-to-date records, documentation, reports and data relevant to admission activity, and make this information available for the necessary management and governance meetings including all monthly unit management meetings
Have full knowledge of the systems and practices needed to manage the role, particularly PAS, and to assume responsibility for keeping up to date with new systems, technology, protocols, etc
Have experience with a Dictaphone/transcription software such as T-Pro or similar and possess high word per minute typing and accuracy rate
Ensure all inpatient and outpatient files are setup and maintained accurately and in a timely manner, this will involve ongoing auditing in relation to archiving and disposing of files as required
You will assume full responsibility for the Medical Records of patients. Responsibility for the day to day processing of patient records and ensuring that an efficient service is in operation for the easy retrieval and location of patient records, as per the policies and procedures of High field Healthcare, Department, Freedom of Information and Data Protection Acts
You will be responsible for ensuring all correspondence is appropriately responded to in a timely and efficient manner
Minute any meetings as directed by the consultant Psychiatrist and do dictation of letters, discharge summaries, meetings and any other documentation as directed by the Consultant Psychiatrist
Liaise with patients as appropriate
You will be required to provide cross cover, as directed, for other medical secretaries
You are required to respect the confidentiality of your work in regard to patients, and the processing and handling of files and documents in respect of patients
Required Knowledge, Skills, and Abilities
Possess minimum Leaving Certificate. Medical Secretarial Qualification is a distinct advantage.
Minimum 2 years’ experience in an administrative/secretarial role required.
Have excellent PC, MS Office, typing and Dictaphone skills
Be customer/patient oriented and of good character
Have a proven ability to work in a busy environment, multi-task and priorities effectively while maintaining excellent standards of service delivery
Display a friendly and outgoing disposition as well as an ability to remain calm and effectively manage in an emergency situation
Excellent communication, interpersonal skills and telephone manner required
Ability to work on own initiative essential as well as part of a dynamic team and enjoy change and development is a bonus.
Flexibility will be required with respect to working hours and assigned tasks and duties
Previous experience working in a busy medical secretarial role
