Job Description
Support the IFM team by completing administrative tasks relating to site processes.
Populate online project tracking details such as EHS statistics, costs and training records
Develop presentations and reports to support facilities management execution as well as taking minutes at meetings.
Compiling information of Vendors and staff to enable their successful execution of works such as EHS compliance, scheduling site inductions, set up on company financial system, site permits and arranging individual badge access
Provide document control during projects including but not limited to compiling O&M manuals, as-built project drawings, invoicing, EHS audits, EHS good catches and EHS plans.
Maintain documentation and status data in online IT system and also through Training Software programs
Support management with financial control and Invoicing
Maintain staff and vendor training and maintain in date certification and records

Meet and exceed Client relationship and expectation levels
High quality service levels for the site
Complete all related administrative tasks
Required Knowledge, Skills, and Abilities
Excellent Client relationship and self-starter skill
Great computer skills and a good working knowledge of Microsoft packages, Windows, etc.
High level of accuracy and attention to detail.
Ability to prioritize and manage multiple tasks effectively.
Experience of working in a multi skilled team environment
Strong written and verbal English language skills
Strong Excel skills with good Word, PowerPoint and Microsoft Project skills.
Candidate must demonstrate personal impact and gravitas, with high velocity & speed of response and a proactive, 'can-do' attitude.
