Job Description

Your Day-to-Day…

  • Promote and ensure the good reputation for each Service. To act as a positive role model, maintaining and demonstrating a positive attitude towards residents, their families, visitors and other staff.
  • Promptly invoice Clients and Local Authorities or person so responsible and follow up settlement of same using manual records and specialised computer software.
  • Maintain complete Staff files ensuring they are keep up to date and in line with Healthcare Commission regulations. Ensuring that HR system remains accurate with all staff data recorded.
  • Process all payroll information on a weekly basis.
  • Promote regular communication between each service and payroll team to ensure all payroll information is captured accurately on a weekly basis.
  • Operate office equipment such as fax, photocopier and computer as required, as well as supply administrative services to the appropriate Managers as required.
  • Answer the telephone and respond to all administrative enquiries in a friendly and efficient manner.
  • Maintain accurate records of all petty cash transactions and any supplier invoices as required.
  • Ensure all equipment is clean and well maintained.
  • Maintain stationery supplies’, ensuring this is in line with the Service budgets.
  • Maintain records of staff uniforms, annual leave, sickness absence, Disclosure Barring Service information, Right to Work. This also includes other required on-boarding documentation as communicated by the HR Department.
  • To communicate with the services, payroll and HR when processing maternity forms.
  • To ensure all onboarding matrices are updated on a daily basis, liaising with the recruitment team and service to promote a rapid turnaround from confirmation of appointment to start date.
  • To develop and maintain a regional bank pool of Support Workers for each respective region, liaising with the Recruitment team on a regular basis to ensure adverts are up to date at all times.

  • Flexible, organised, able to prioritise workloads, solve problems & make decisions
  • Experience of line managing and mentoring junior staff desirable.
  • Calm under pressure & can work under your own initiative
  • A strong written & verbal communicator with an eye for detail and excellent interpersonal skills
  • Good numerical and word processing skills in particular Microsoft Excel and Word.
  • Good communication skills and confident manner.
  • Eye for detail ensuring accuracy.
  • Ability to organise own time and workload.
  • Ability to co-ordinate multiple tasks and shifting priorities.
  • Ability to work well under pressure.
  • Willing to undertake training courses relevant to the job role in order to maintain skills/knowledge.
