Job Description

You will be managing the office that ensuring the building is organized and running efficiently. Communicating with key stakeholders across the business both internally & externally including with the cross-function return to office action team, external visitors, contractors and providers, employees across the business, HR, Operations, and internal communications. You will be required to use your initiative and be proactive in your approach pre empting business and employee needs.

  • Run reception, taking telephone calls for the business including overseas offices – manage and answer all incoming queries, taking messages, dealing with couriers, taxis and referring phone calls to the relevant individual when required.
  • Scheduling of appointments, maintenance of calendars, preparation of external/internal correspondence, and coordination of meetings and maintenance/filing of documents.
  • Play a key role in the safe return to the office post-lockdown, working effectively with cross functional team.
  • Office management, creating a safe and stimulating work environment with a focus on continuous improvement.
  • Manage external vendors across the business, ensuring that any issues are addressed and managed proactively and managing the relationship with key vendors.
  • Working with People management in the coordination of events.
  • Manage office moves, desk moves with limited disruption to employees/business.
  • Meeting and event planning
  • Liaising with all internal and external stakeholders
  • Discretion and confidentially is highly important in this position.
  • Liaise with Health & Safety and support as required.
  • Ad hoc duties as required

Required Knowledge, Skills, and Abilities
  • Minimum of 3 years’ experience in a similar role.
  • Excellent problem-solving skills
  • Ability to work in a busy fast paced environment.
  • Team Player with excellent communication and Interpersonal skills
  • Ability to use your initiative and make decisions within your remit to get projects completed on time.
  • Excellent communication skills and competent building strong relationships with both internal & external stakeholders.
  • Poses a keen eye for detail and accuracy
  • Motivated with the ability to manage a high workload, multitasking and prioritizing tasks
  • Proficiency Microsoft Office programmes
