Job Description
You can build and maintain key relationships with the office staff and clients of the business. Passionate, enthusiastic and motivated by success, a key focus of this role will be assisting the business in operating in a seamless fashion, identifying needs and completing tasks as they arise to assure that the office as whole can operate in an effective manner.
- Organizing and supporting the CEO and COO
- Manage the diaries and schedules of other senior management as necessary
- Book business travel arrangements, including flights, transportation, and lodgings for senior management and other staff members
- Liaising with clients and prospects & building relationships
- Prepare meeting agendas, perform research for meetings, and take minutes during meetings
- Document Creation (Word, Excel and PowerPoint)
- Data inputting (Xero and HubSpot)
- CRM Support (HubSpot)
- Manage the CEO’s social media profiles
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly
- Perform receptionist duties: greet visitors, and answer and direct phone calls
- Receive and sort incoming mail and deliveries, and manage outgoing mail
- Develop office policies and procedures, and ensure they are implemented appropriately
- Manage office budget
- Identify opportunities for process and office management improvements, and design and implement new systems
Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
