Job Description
  • General office support, including the distribution of post, binding documents, photocopying, scanning, preparing refreshments for client meetings and arranging local deliveries and/or collections. 
  • Diary management and organization, planning and scheduling appointments and meetings
  • Assist project team members with the preparation of presentation materials and papers for meetings 
  • Responsible for the compilation, completion and issuing of Health and Safety Files (training and support will be provided for this)
  • Assist with the preparation and co-ordination of tender bids and submissions 
  • Maintain conference room diary and be responsible for room bookings.
  • Greet all visitors and provide refreshments for meetings. 
  • Provide administration cover to other Building Consultancy offices and when required to cover sickness and holidays.
  • Any other duties as required by the Regional Director to assist the project team in receiving an efficient and supportive administration service

Required Knowledge, Skills, and Abilities
  • Strong IT skills, fully conversant Microsoft Office packages, in particular Word, Excel, Outlook and PowerPoint.
  • Excellent telephone manner 
  • Excellent standard of copy typing skills
  • The ability to work on own initiative without supervision 
  • Positive and proactive approach to team working
  • Excellent planning and organization skills with ability and willingness to take responsibility for planning and prioritizing own workload 
  • Able to maintain a high level of confidentiality in all work
  • Able to plan and organize their workload, and work effectively to meet deadlines and manage priorities with minimum supervision 
  • Able to build and maintain good working relationships with clients, team members, colleagues and third parties
