Job Description
General office support, including the distribution of post, binding documents, photocopying, scanning, preparing refreshments for client meetings and arranging local deliveries and/or collections.
Diary management and organization, planning and scheduling appointments and meetings
Assist project team members with the preparation of presentation materials and papers for meetings
Responsible for the compilation, completion and issuing of Health and Safety Files (training and support will be provided for this)
Assist with the preparation and co-ordination of tender bids and submissions
Maintain conference room diary and be responsible for room bookings.
Greet all visitors and provide refreshments for meetings.
Provide administration cover to other Building Consultancy offices and when required to cover sickness and holidays.
Any other duties as required by the Regional Director to assist the project team in receiving an efficient and supportive administration service

Required Knowledge, Skills, and Abilities
Strong IT skills, fully conversant Microsoft Office packages, in particular Word, Excel, Outlook and PowerPoint.
Excellent telephone manner
Excellent standard of copy typing skills
The ability to work on own initiative without supervision
Positive and proactive approach to team working
Excellent planning and organization skills with ability and willingness to take responsibility for planning and prioritizing own workload
Able to maintain a high level of confidentiality in all work
Able to plan and organize their workload, and work effectively to meet deadlines and manage priorities with minimum supervision
