Job Description

You will have a range of secretarial and administrative experience, ideally in a hospital environment, though other administration experience will be considered. Working in a busy and sometimes demanding job, within a supportive team, they must be a good team player and enjoy working within a multidisciplinary team. They will need to be able to manage and priorities their workload appropriately. The applicants should have excellent organizational and interpersonal skills and the ability to work well under pressure. The ability to use their own initiative is essential. As the post deals with patients, relatives and healthcare professionals on the phone, and occasionally face to face, applicants must have excellent communication skills and will be expected to have a courteous and efficient telephone manner. They need to have an excellent working knowledge of Microsoft Packages such as Word, Excel and Outlook and databases.

  • To liaise with & act as a point of contact for clinical & non-clinical staff via telephone & email
  • To act as a point of contact for patients, relatives & careers. Being polite and empathetic to the patient’s needs, & be able to communicate effectively when dealing with difficult situations/conversations
  • Escalate patient queries, capacity problems & general issues to the role’s line manager.
  • Ensure patient records are up to date & maintained.
  • Checking & sorting investigation reports.
  • Maintaining accurate filing systems, receiving post, diary management, scanning notes.
  • Attend appropriate meetings as required.
  • Provide cover for other secretaries in times of sickness or annual leave.
  • Ensure specialty specific documentation is completed & filed appropriately• To audio type, edit & proof read clinical letters.
  • Achieve the required standard of proofreading/editing.
  • Attend training courses as required.
  • Assist in training of new members of the team.
  • To check incoming email inbox(s) on a daily basis to keep up to date.
  • Maintain confidentiality & discretion & comply with the terms of the Data Protection Act & local Trust policies at all times
