Job Description

This is a key role supporting the regional Managing Partner and Chief Digital Officer in delivering customer service excellence to external and internal customers, ensuring consistency and the RLB ethos is maintained. Our purpose is to have fun, feel valued and make money forever!

Key Responsibilities

  • General diary management and scheduling of internal / external business appointments.
  • Coordinating travel arrangements
  • General email management and archiving
  • Assist in the preparation of key documents, reports and PowerPoint presentations
  • Typing of correspondence, reports, minutes and presentation documents.
  • Undertake ad-hoc research exercises
  • General deadline management
  • General administration including collating and filing expenses, timesheets etc.
  • Ensure office facilities are maintained and operating efficiently including front of house and back of house (Print room, Kitchen & storage) and ordering of all office consumables.
  • Greet all employees and visitors to the office offering a professional first impression, and support front of house with management of meetings and refreshment as and when required.
  • Ensure clear desk policy is maintained
  • Archiving and management of office filing system
  • Ensure H&S standards are maintained within the office and liaise accordingly with national Health & Safety manager.
  • Maintain first aid box
  • Ad Hoc / General Administration
  • Secretarial and administrative support to Managing Partner and Partners
  • Ensuring all business and office KPI targets under each area of the balanced scorecard are achieved each month – providing guidance on mandatory requirements, monitor and report in support of annual QA and Environmental audits.
  • To be able to promote, use of and monitor compliance with all business systems, providing guidance as necessary.
  • Ensure telephones are answered in a timely manner and initiate appropriate actions as and when required.
  • Co-ordination of team socials and client events
  • Preparation/formatting of reports, correspondence, internal presentations.
  • Creating and maintaining good relationships with other administrators and colleagues within the business.
  • Act as local representative for national forums / initiatives where required
  • Ordering of business cards, stationery, couriers and kitchen supplies
  • Local office HR Representative
  • Local induction of new staff; monitoring progress and liaising with managers to bring all new starters up to speed with best practice and internal protocols / systems.
  • Ensure the receipt and set up of computer equipment for all new staff including IT induction for all new staff.
  • Record staff sickness and ensure medical certificates are passed to HR
  • Log resignations and book exit interviews with Recruitment Manager
  • Liaise with HR with regard to the coordination of training events
  • Local IT Representative
  • Be familiar with all office systems and equipment; advise on use to all new, temporary and existing staff when necessary.
  • Assist with local IT issues – liaise with IT department as necessary; update staff details.

Required Knowledge, Skills, and Abilities
  • You will demonstrate a positive and proactive approach and will be committed to delivering internal and external customer service excellence.
  • Previous experience in a similar role.
  • Client facing, ensuring a high standard of delivery.
  • Ability to successfully manage internal projects in a proactive and diligent manner.
  • Excellent communication skills, both written and verbal.
  • High level of IT competency, MS PowerPoint, Excel, Outlook and Word.
  • Excellent organizational and time management skills.
  • Able to stay professional and calm under pressure, assertive, confident to communicate at a range of levels both internally and externally.
  • Have a good eye for detail and attention to detail.
  • Proactive, adaptable to quick / last minute changes in diary, flexible, persistent and focused with the ability to think logically using own initiative.
  • The ability to work under pressure to meet deadlines.
  • Able to deal with confidential information.
  • Self-motivated with strong levels of initiative, and flexibility.
  • Able to build long-term professional relationships.
