Job Description

You will anticipate and solve problems before they arise and liaise frequently with senior colleagues and external stakeholders. The varied workload will include: electronic diary and email management; meeting and event administration; room bookings; drafting correspondence and briefing reports; producing spreadsheets and PowerPoint presentations and providing administrative support.
Actively manage the two Deputy Directors’ diaries to ensure meetings and engagements are prioritised in line with their objectives (and respond at pace when priorities change). You will:

  • Provide effective lines of communication between the Deputy Directors, internal colleagues and external stakeholders.
  • Ensure emails are well managed and responded to in a timely manner, filtering and redirecting as appropriate.
  • Take ownership of tasks on behalf of the Deputy Directors, ensuring they are delivered on time and to a high standard, such as coordinating returns or setting agendas for meetings.
  • Manage requests for their time and attention, managing the need to clear submissions, documents and so on. This requires building good rapport and maintaining supportive relationships.
  • Develop professional relationships with, and acting as a first point of contact for stakeholders within and outside the department who engage with the Deputy Directors.

In addition you may also have the opportunity to develop your own projects, taking responsibility for areas of work on behalf of the Deputy Directors and representing them in their absence. Previous experience of working in a similar role is desirable but not essential. Desirable criteria will only be assessed in the event of a tie break situation to make an informed decision.
