Job Description

You will work with cross-functional leaders and provide high caliber administrative support that will help us execute company projects and goals. Your creativity, passion, and organizational skills will be critical in supporting team off-sites, culture, and special events.

  • Handle daily meeting calendars for the CEO 
  • Provide support in established as well as ad hoc tasks – diary and email management, meeting coordination and preparation, travel booking, filing expenses, office supplies inventory, escorting visitors, etc.
  • Build a close working relationship with the other Execs to effectively manage all affairs, including matters that require exercising discretion and confidentiality.
  • Stay ahead of the CEO and anticipate her needs, taking responsibility for filtering, prioritizing and escalating issues as appropriate and recommending solutions to issues.
  • Build meeting agendas, maintain meeting notes, and optimize for different time zones to support our global team
  • Ensure responsiveness for timely communication and takes initiative to keep stakeholders informed when required 
  • Coordinate, organize and lead on the delivery of internal and external events, including dinners, conferences, internal gatherings, strategy days and virtual events
  • Project manage priorities by providing status updates and ensuring that cross-functional leaders are included in meetings and communications where required
  • Assisting reporting requirements: collating information; liaising with those submitting information to ensure correct content is provided; completing first edit; keeping to strict time deadlines
  • Coordinate domestic/international travel and provide support as needed by working closely with Founder’s EA
  • Work independently at a fast pace, with a strong personal dedication to meet timelines when required 
  • Ensure a high level of confidentiality and professional integrity
  • Priorities, multi-task, and handle a continuously evolving environment
  • Dealing with any I.T. requests and issues
  • Be able to handle pace
  • Be totally unflappable 
  • Have an approachable and friendly manner

Required Knowledge, Skills, and Abilities
  • 5+ years of work experience supporting at the executive level
  • Previous experience of operational or project management roles will be highly advantageous 
  • Strong project management skills and excellent time management skills
  • Demonstrated communication and presentation skills, with an ability to express high-level concepts efficiently and optimally to a wide range of audiences
  • Proactive, well-organized, and collaborative individual with a professional aspiration to be the administrative engine of a high-performing team in a fast-paced environment.
  • Writing ability in English prose to a high standard across mediums and formats (e.g., invitations, formal emails, meeting minutes).
  • Able to deliver high volumes of detailed work to a high standard & to tight deadlines in a professional manner. 
  • Extreme attention to detail and superior organizational skills in pursuing and completing, to full resolution and satisfaction, multiple and overlapping tasks.
  • Proficiency in Microsoft Office applications – Outlook, PowerPoint, Word and Excel.
  • Ability to thrive in a fast-paced environment, think creatively, and produce innovative solutions
