Job Description

The role holder will enable the delivery of the team’s targets through wider administrative support of the contract and commissioning and claims processes.

  • The role holder will provide a high-quality administration support function for the Strategy and Commissioning team
  • The role requires a level of commercial knowledge and general business awareness to enable the role Holder to work comfortably on any project with any level of management.
  • Support the Contract and Commissioning team in the performance of a full business partnering service to the business including maintaining the contracts database, ensuring the practices all have a copy of their contracts in order to ensure they are delivering all its requirements. Arrange for new contracts to be signed, returned and recorded once authorized.
  • Identify missing contracts, obtain copies and ensure practices are delivering as they should, particularly around opening hours.
  • Maintain LAT dental contract managers contact list, updating and distributing on a regular basis.
  • Record all breach and remedial notices issued to practices and supporting mid-year and end of year contract processes as required.
  • Maintaining the contract and commissioning project plans ensuring stakeholders are performing actions as required and have provided and reviewed due diligence where applicable.
  • Communication of project progress update to relevant business functions at the appropriate time including weekly conference calls, attending meetings and writing/ distributing minutes.
  • Identify key events being held by the GDC, BDA and BOS etc. to ensure we have representation at these events.
  • Support in sourcing demographic information for tenders during busy periods. Support confidential tender activities by managing the NDA process, gaining appropriate NDAs and managing and distributing NDA list in a timely manner.
  • Contribute towards a high performing team, taking control for self-development.
  • Support the team where there is capacity and undertake any other relevant tasks assigned.
  • Collate contract and commissioning related costs for all projects and create and monitor POs for transactions and departments costs.
  • The role holder will also support the wider M&A, Integration and Commissioning team in helping deliver against their strategic objectives.

Required Knowledge, Skills, and Abilities
  • Educated to A level or equivalent, or relevant suitable work experience.
  • Good project management skills and ability to manage numerous tasks /projects (essential).
  • Experience of administrative tasks (essential).
  • Strong written and oral communication skills, ability to demonstrate attention to detail and accurate record keeping (essential).
  • Good team player focused on delivering own objectives while supporting others to deliver theirs.
  • Knowledge of NHS contracting and procurement processes, (preferred but not essential).
  • Ability to demonstrate attention to detail and accurate record keeping (essential).
  • Good interpersonal skills and ability to communicate with internal colleagues and external customers.
  • A good relationship builder.
  • Self-motivated, ability to manage own workload and priorities, working to tight deadlines whilst maintaining a positive outlook under pressure.

  • IT skills including Microsoft Office systems.
  • Familiar with working in a large organization i.e. working cross functionally /departmentally, a degree of political know how and working in a changing environment. Travel and overnight stays may be required from time to time.
  • Due to the importance of deadlines for tender submissions or completions the individual will be required to be flexible in terms of hours of work.
