Job Description
  • Purchase order raising, processing invoices, and payments 
  • Updating various systems and data (such as SAP)
  • Supporting the business to identify reasons for automated process system failures and help find a solution 
  • Supporting site security and liaising with stakeholders, the business, and external companies to action requests for site access
  • Managing stock 
  • Operational support such as ordering PPE and ordering materials
  • Arranging statutory & mandatory training 
  • Meeting room coordination
  • Issuing site passes 
  • Supporting the business with general and adhoc administration
  • Helping to maintain the corporate document management system 
  • Supporting the business and Shared Services Manager in review and updating business systems/solutions
  • Reception cover when neede 
  • Supporting invoicing team sending invoices to budget holder/PO requester for GRN/payment approval
  • Reconcile transactions and correct any discrepancies 
  • Assess invoices comparable to project, department, and company forecasts through SAP
  • Maintain relationships with suppliers and internal customers where appropriate 
  • Review accounts payable operations to make sure invoices and receipts are properly coded
  • Upload invoices to SAP/monitor automated program 
  • Help ensure timely BACS preview and BACS run and CHAPS and/or cheque process

Required Knowledge, Skills, and Abilities
  • Passion for supporting internal customers 
  • Ability to build good working relationships with colleagues and stakeholders
  • Communication skills at all levels 
  • Ability to maintain accuracy and strong attention to detail
  • Willingness to work flexibly across the service, quickly acquiring new skills and knowledge where necessary 
  • Numerate and fluent in English
  • Experience working with MS office and ideally other systems such as SAP or similar ERP systems, although training will be provided
