Job Description
You’ll be joining a patent and trade mark attorney firm that works to protect some of the world’s leading brands and newest innovations. Having excellent interpersonal skills is essential, and you’ll need to be the kind of person who is well organised, has good attention to detail and always seeks to ensure the firm is presented to clients and staff in the best manner possible. Your tasks will typically include various clerical and administrative duties, such as:
- Simple clerical duties as might be assigned from time to time, e.g. printing out documents, creating paper files, photocopying, scanning;
- Meeting and greeting visitors including suppliers and clients;
- Booking meetings, ensuring rooms are presentable, providing refreshments/lunches and clearing up afterwards;
- Answering incoming telephone calls;
- Post duties including franking post, taking post to the post office, dealing with couriers and managing internal post;
- Loading and emptying the dishwasher and ensuring the kitchen is clean and tidy;
- Monitoring stocks of office stationery and ordering supplies when necessary;
- Management of file storage areas / archive etc.;
- Managing car park spaces in the office car-park;
- Managing supplies of coffee/tea/milk/mineral water (including water cooler supplies) /biscuit/fruit and other kitchen supplies etc. for visitors and staff;
- Logging, filing and keeping up to date any paper journals/text books;
- Monitoring supplies of PO Brochures, Business of Invention and A&I Profiles;
- Managing the issuing and returning of the keys to the firm’s flat in Munich
- Keeping photocopier/fax machines in good working order including liaising with the maintenance companies as and when necessary;
- Overseeing and managing recycling – including plastic bottles, cardboard, paper, and toner cartridges;
- Other duties relating to the Munich flat, including keeping a diary of visits, and occasional visits to the flat if required;
- Managing the controls of the central heating in the Bath office and liaising with engineers in the event of a fault;
