Opening and closing the building each day and controlling general access to the office including maintaining key and access fob lists, assigning new ones where appropriate
Keeping the office neat and tidy and working with department heads / employees to ensure they do their part in maintaining a clean office environment
Ensuring the office is well stocked with its required goods, from office stationery to tea and coffee supplies
Reviewing and updating the organization’s utilities tariffs, making recommendations on improved deals that the organization could benefit from and implementing them where requested
Responsible for all purchase ledger activities including of processing purchase orders, invoices and payment runs * Checking invoices for nature of spend, calculations and VAT
Preparing bank reconciliations and recording credit card spend
Liaising with suppliers to chase any outstanding issues from supplier statements and payments.
Carrying out regular spot checks on the cleaners work to ensure we are getting the value we deserve, and the building is being kept to the required standards
Running general errands including post office runs and pick-ups. As such, a clean driving license is essential for this role.
Providing ad hoc support to the department heads as and where they need it
Required Knowledge, Skills, and Abilities
The successful Finance Assistant will have previous administration experience and be looking to develop their career in finance.
