Job Description

The individual will also be required to support the wider PA/secretarial team with holiday and other absenteeism cover as needed.

  • Responds on behalf of specified senior finance managers supported by the role to different stakeholders maintaining high professional standards whilst managing conflicting demands/requirements
  • Responds to complex and/or escalated tasks/enquiries from other PA and secretarial staff
  • Organizes and manages various organizational functions, including planning and budgeting meetings as well as business reviews across the Group.
  • Liaises with others and accesses Microsoft Outlook accounts for allocated members of management to schedule appointments and answer or redirect routine enquiries from internal and external sources
  • Prepares documents, presentation materials etc. and distributes to required stakeholders
  • Accurately transcribes, types, formats, and proof reads a wide variety of materials (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches and presentations) using predominantly Microsoft Office applications but with links to specific AstraZeneca systems (e.g., Coupa, SAP, Workday etc.)
  • Coordinates internal and external meetings/conferences to ensure efficient and effective delivery (e.g., booking external venues, scheduling meeting times, making travel arrangements for attendees, and arranging amenities etc.)
  • Performs other administrative tasks using independent judgment, confidentiality and discretion
  • Plans, organizes, and schedules their own workload ensuring accuracy, completeness and on-time delivery

Required Knowledge, Skills, and Abilities
  • Prior PA/secretarial experience
  • Excellent written/verbal communication skills
  • Competent in the use of Microsoft Office applications
  • Ability to create and maintain systems driving processing and departmental efficiency
  • Ability to operate within a team environment and build a network to ensure efficient and effective delivery
  • Relevant vocational qualifications or equivalent experience
  • Team/project management skills
  • Working knowledge of key systems (SAP, Coupa, Workday etc.)
