Job Description
  • Extensive diary management – organizing meetings, booking meeting rooms, avoiding clashes, and prioritizing where necessary.
  • Booking flights, accommodation and creating itineraries for all travel.
  • Keeping diaries up to date with events and annual leave.
  • Collating and submitting expenses when given.
  • Ad hoc support including printing / copies, getting lunches, errands, booking restaurants, relocations.
  • Creating presentations/ documents and issuing pre-reads / follows ups when required.
    • Monthly KPI reports (Ops)
    • Executive Meeting Decks
    • Org charts
    • Meeting minutes (Ops Leadership Team Meeting, Ops Executive Meeting)
  • Organizing away day events when required.
  • Provide support to other Exec members when on Cambridge site.
  • Liaising with facilities teams for Executives needs / requirements.
  • Filing of patent documents when received in the post.
  • Purchase Orders.
  • Joint management of database and creation of NDAs from NDA inbox.
  • Use of company card to support Exec (and their respective Leadership Teams where appropriate).
  • Dealing with telephone / email enquiries.
  • Booking meeting rooms and conference facilities.
  • Ordering stationery and office sundries.
  • Greeting and signing in visitors.
  • Entry card / ANPR management.
  • Creating purchase orders as requested and delivering them once received for NPD, Quality and Manufacturing Depts.
  • Main point of contact for Park Facilities Management. Distributing messages from the park to colleagues.
  • Being main point of contact for Accounts Payable – sending across invoices etc.
  • Being main point of contact for IT Department.
  • Support for People Team when on site.
  • Assisting with resolution of Service Desk (IT) requests.
  • Creating, maintaining, and managing NDA filing system.
  • Creating welcome packs for new starters.
  • Arranging monthly lunches.
  • Arranging internal and external conferences / events / away days.
  • Arranging Christmas Party.
  • Use of company card to support Cambridge site – e.g., test purchases, sit stand desks.
  • Submitting monthly expenses.
  • Organization of office space. Orchestration of office moves / building works.
  • Maintenance of office (repairs, lighting etc.).
  • Arranging Internal Launches.
  • Organizing “mood boosters” – e.g., afternoon tea, tuck shop, fruit etc.
  • Sending out communications to general office with updates on behalf of various functions.
  • Tours for visiting ghd colleagues.
  • Main point of contact for all office / park related queries.
  • Organizing removal of WEEE and 3D print waste.
  • Signing for deliveries and distributing to relevant staff – manual handling training required.
  • Arranging outgoing deliveries / collections (DHL / Royal Mail / Courier).

Required Knowledge, Skills, and Abilities
  • Experience of working in an office/ facilities management role.
  • The ability to work calmly and effectively in a fast-paced environment without supervision to meet tight deadlines under pressure.
  • Excellent organization skills, with the ability to anticipate requirements and with the aptitude to priorities own workload.
  • Flexible and adaptable to commit fully to this highly demanding role, working late hours if needed.
  • A confident, assertive, and resilient personality with a positive and proactive approach and the ability to build strong working relationships.
  • Possess clear ability to work with pace, accuracy, discretion, and professionalism.
  • Excellent oral and written communication skills.
  • Attention to detail.
  • Must be computer literate and be proficient with MS applications.
  • Fire Aid qualification or prepared to train.
  • IOSH Managing Safety Qualification.
