Job Description

You’ll be naturally efficient, calm and competent, able to switch quickly between tasks and keep on top of many and varied responsibilities. You’ll love being the ‘glue’ that holds us all together, really motivated by providing great support to all your colleagues and taking ownership for the critical details without which we couldn’t function.

  • Supporting internal project and team initiatives, making sure all the details are taken care of, including organisation of and support to company events
  • Being first point of contact for office maintenance, tech hardware, software/licenses, and other office related needs e.g. incoming and outgoing post and packages
  • Organising and overseeing relationships and work done by third party support e.g. for IT, ‘handyman services’, cleaning, office and kitchen equipment maintenance, couriers
  • Maintaining equipment, stationery, food/refreshments supplies
  • Taking on an array of executive administration tasks including calendar scheduling and diary management, organising key meetings, booking accommodation, venues and transport, and generating and formatting draft correspondence
  • Providing onboarding support for new staff and offboarding support to outgoing staff
  • Participating in internal meetings, minuting and tracking actions
  • Ensuring our office is a clean, welcoming and comfortable working environment, making sure the whole team has what they need in the right place at the right time
  • Meet, greet and look after our guests and visitors
  • Maintaining the company’s integrity by keeping information confidential and complying with Data Protection requirements
  • Dealing with ad-hoc requests from colleagues

Required Knowledge, Skills, and Abilities
  • Prior office management experience and/or EA experience (if not both, then the desire and ambition to broaden your responsibilities)
  • High levels of personal organisation and the ability to effectively manage multiple tasks/projects against tight deadlines and organise others
  • The ability to provide structure and process to day-to-day activities, including across different teams
  • Great attention to detail, commitment to high levels of service, and the ability to spot gaps, close loops and prioritise effectively
  • The ability to deal with the quick changes of direction, shifting priorities and urgent demands that are part of life in a fast-moving, high growth biotech scale-up
  • Positivity, persistence, initiative and the ability to work with autonomy, solving problems and finding ways to improve internal systems and approaches
  • Strong IT skills and knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) and other commonly used office packages.
  • Great interpersonal and communication skills – able to build rapport and good relationships with a diverse range of colleagues
  • Experience of working in a small, fast-growing organisation
  • Experience of the Biotech, Pharma, Manufacturing, or other science/tech-led sectors
