Job Description
  • To provide administrative support / co-ordinate all clinical student recruitment including ordering of IT equipment, reviewing and monitoring internal paye forms, annual leave cards, personnel files and other associated processes.
  • To use electronic patient management system to register, process, check, update and discharge patients
  • To type appointment letters, clinical letters and discharge letter using both copy type and audio typing
  • To maintain and update accurate patient records is accordance with standard operating procedures including scanning, filing, audio and copy typing
  • Respond to all queries, correspondence and issues within department in relation to specialist services
  • Support the management of the 18 week wait list, escalating any issues to the clinical lead.
  • Prioritise and manage own workload
  • To support the admin team leader in introducing changes to administrative systems in line with service modernisation and integration.
  • To support any audits required by the services relating to this department
  • To produce information and data relating to the services relating to this department, as required
  • To cover the reception desk and phones if required
  • To greet patients at reception and book them into clinic appointments if required
  • To participate in administration meetings and share good practice amongst peers within the organisation
  • To work on the phones, answering queries and redirecting calls, as and when required.

Required Knowledge, Skills, and Abilities
  • Educated to NVQ 3 level or equivalent qualifications or equivalent relevant admin experience
  • Administration experience
  • Experience of collating and monitoring data
  • Experience of prioritising work autonomously
  • Experience as working as part of a team
  • Experience of supervising staff
  • Experience of working with the general public
  • Experience of making decisions
  • Use of Microsoft applications, Word, Outlook Excel, databases
  • Good and accurate typing skills with a minimum of 60 word per minute
  • Excellent communication skills, with a friendly professional manner
  • Able to communicate verbally and through other media such as emails
  • Able to work under own initiative, be able to prioritise work and be well organised
  • Ability to meet deadlines
  • Numerate
  • Have good attention to detail and to be able to check own work
  • Able to use judgement and initiative to resolve issues
