Job Description
  • Maintain the security screening log and any other log as deemed appropriate
  • Check and code incoming invoices
  • Manage the probations document process and any other documentation (e.g.tracking the return of documentation)
  • Maintain the electronic personnel filing system
  • Maintain the archive filing system (arranging for disposal of relevant files and ensure archive filing system is inorder)
  • Run reports from various systems as required
  • Take minutes at HR meetings
  • Schedule and take minutes at the Graduate Programme Committee
  • Assist with internal audit of checklists and support the preparation for external audits
  • Arrange room bookings for interviews, meetings and training courses
  • Maintain stationery supplies, initiating orders and recharges.
  • Support the HR Manager in relation to sourcing of training providers, liaising with providers to book courses, inviting delegates and sending out evaluation etc
  • Maintain the training budget tracker
  • Manage the staff training records and updates the training pages on the Hub (intranet)
  • Support the team in maintaining the HR and Wellbeing pages on the Hub
  • Manage the Occupational Health recalllistand Occupational Health onsite clinics
  • Collecting post
  • Responsible for managing the HR email inbox
  • Support with ad hoc letters as required including mortgage references, letters to support visa applications etc.
  • Carry out other duties commensurate with the role as required

Required Knowledge, Skills, and Abilities
  • Educated to GSCE level C in English and Maths
  • Experienced administrator
  • Excellent communication skills
  • Minute taking skills, desirable
  • Experience of working in a HR team
  • Ability to work independently and in a team
  • Detailed orientated
  • Ability to make independent decisions and solve routine problems
  • Highly organised, adaptable and self motivated
  • Must be able to adhere to confidentiality
  • Understanding and awareness of working in an equal and diverse workplace
