Assisting with calendar management, travel planning and support (including booking flights, transfers and accommodation)
Assists with visas and passport renewals
Processing of Expenses and transactions
Management of contract and Purchase Order creation, tracking and receipting
Organises and schedules team meetings for both groups
Assists with the planning and organization of internal and occasional external meetings
Finalises and distributes relevant documents in a timely manner, such as agendas, meeting minutes
Collaborates with other administrative coordinators across the business, both locally and globally
Handles general enquiries and routes questions to appropriate personnel/resources within the various teams
Assist with additional ad hoc duties when required
Required Knowledge, Skills, and Abilities
Proven administration experience within a fast-paced international organization is essential
Experience within the Pharmaceutical industry needed, preferably in a Quality, Pharmacovigilance or Regulatory department would be very useful
Ability to extend support across different locations and applying different site policies
Preferred system experience with MS Office, Oracle EBS, Cliqbook/Concur T&E would be useful
Demonstrating a high level of proficiency with MS Office Suite (MS Outlook, MS Word, MS PowerPoint and Advanced MS Excel in particular)
Candidates must be able to work under minimal supervision; working proactively with the team to anticipate and identify any future departmental needs and prepare accordingly
Highly organised with a systematic approach to all tasks, a team player willing to help and learn
