Job Description
Your responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors, and providing general administrative support to employees. You should also have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation. You will proactively work with the team to bring about consistent flow of productivity.
Responsibilities:
- Conduct clerical duties, including filing, answering phone calls/forwarding on calls, responding to emails and preparing / checking documents/drawings/reports/invoices
- Screening calls
- Coordinate project deliverables
- Schedule meetings and travel arrangements for senior members of the company
- Sorting and distributing post
- Provide administrative support for operations team
- Managing employee schedules and potential conflicts
- Taking inventory of office supplies and order more if needed
- Helping establish and maintain office procedures
- Assisting senior management team when needed
- Organising induction programs for new employees
- Knowledge of office administrator systems and procedures
- Attending meetings with senior management
- Ensure the business is adhering to GDPR
- Develop and implement new administrative systems as necessary
- Meeting & greeting clients
- Booking meetings either in-house or via Microsoft Teams
- Arranging couriers
