Job Description

The focus of this Accounts Administrator role will be to provide finance support for our ERDF-funded schemes. The successful candidate will work with colleagues from our regional teams and partner organizations to check, process and collate financial documentation and to compile monthly and quarterly claim reports, working under the supervision of our Financial Manager and supporting our Assistant
Accountant.

  • Building effective relationships with colleagues and partners by phone and email.
  • Compiling quarterly financial claims on a monthly basis and preparing quarterly reports.
  • Proactively liaising with colleagues and partners to ensure all financial documentation is present and compliant and that claims can be processed in a timely manner.
  • Processing company credit cards.
  • Processing staff expense claims using SAGE.
  • Paying close attention to detail to ensure all claim documentation is 100% accurate.
  • Processing invoices, purchase orders and receipts.
  • Maintaining auditable financial records.
  • Working as an effective member of our small finance team.
  • Working as part of a small team you will be expected to take a share of the overall office responsibilities such as managing petty cash and sundries, filing systems, telephone answering, post handling, greeting visitors etc.
  • Delivering excellent customer service at all times to clients, funders and stakeholders - the maintenance of our quality standards and building of a strong reputation is of great importance.
  • Supporting administration duties
  • Support the local and national teams with any other appropriate duties as required.

Required Knowledge, Skills, and Abilities

The successful candidate will require experience of working efficiently with SAGE and a good knowledge of accounting procedures and principles. You will need to be able to work efficiently to deadlines when processing claims as well as paying and sending invoices. Ideally you will have experience of dealing with public & charity budgets in addition to working on European funded programmes, particularly ESF/ERDF).

Experience of operating under a range of commissioning bodies (Heritage Lottery, SFA, DCLG, BEIS, DWP etc.) will also be an advantage.

We are looking for someone with excellent interpersonal skills who can communicate confidently in person, over the phone and remotely not only with colleagues but also partners, stakeholders and clients.
There may be the requirement to travel UK wide occasionally.

You will need excellent written and spoke English and be highly IT literate especially in Excel. The successful candidate will be reliable, organized and efficient with a calm approach to working under pressure with a keen eye for detail and accuracy.
