Job Description

The successful candidate will have significant experience of working on a busy switchboard and have experience of line managing staff.

  • The role requires the ability to work under pressure, managing own workload independently, as there could be high volume of frequent interruptions which require immediate attention, thereby requiring re-prioritization of tasks.
  • Back up reception duties to include answering and re-routing phone calls where applicable, plus dealing with enquiries.
  • Provide administrative and project support to the Governance and Resilience Team on a daily basis with minimal supervision
  • Adhoc Project support to the Transition Team, with minimal supervision.
  • Raising orders via Integra 2 for the Governance and Resilience Team and Transitions Team. Sourcing appropriate products / services, overseeing the process and chasing non delivery where applicable.
  • Fire Warden for Headquarters, along with Receptionist.
  • Be the secondary contact for Headquarters Maintenance and arrange repairs to office equipment.
  • Provide a communication link between the Teams and other staff, agencies and stakeholders.
  • Arranging complex meetings with busy diaries as required.

  • Line Management of the main Receptionist, including undertaking regular supervision sessions and appraisal.
  • Provide administrative and project support to the Governance and Resilience Team. This will include maintaining administrative systems and assisting with clerical tasks as required.

  • Support the room booking process for the site.
  • Fire Warden for Headquarters, along with Receptionist.
  • Be the secondary contact for Headquarters Maintenance and arrange repairs to office equipment.
  • Provide a communication link between the Teams and other staff, agencies and stakeholders.
  • Arranging complex meetings with busy diaries as required.
  • Maintain all relevant databases as required.
  • Cover duties of other members of the administrative staff during periods of leave.
  • Carrying out high concentration tasks within an open plan office environment.
