Job Description

They must have a calm but proactive demeanor with a meticulous eye for detail and can ensure that all duties are carried out to the highest standards within set deadlines. They must be comfortable working as part of a team or independently, with a focus on delivering quality support to the team on a continuous basis.

Main Duties will include:

  • Processing timesheets, including collating, check to clocking, forward to relevant H/O departments, maintain appropriate hard and electronic files, queries raised
  • Input timesheet data from TATA clocking spreadsheet into SES system
  • Take and distribute minutes as required, at various management meetings, inc investigations, disciplinary/grievance/welfare, BLE, Sub-contractor meetings,
  • Collate all expenses claims for the site
  • Dealing with all time and attendance documentation, inc. clocking, failure to clocks, absence recording/certification, holiday forms etc. Ensuring accuracy of all documentation and alignment with authorized time sheets and any anomalies to be investigated at site before forwarding to Head Office by required deadlines
  • Collating and forwarding new starter information and probationary reviews in a timely manner
  • To gain and provide a full understanding of the site Work Packs, Time Sheets and how this information relates to Client charges, providing accurate Statistical Information for monthly Client Commercial Meeting
  • Ordering stationery, raising material requests and GRN’s for goods delivered as and when required
  • General scanning, filing, documentation maintenance
  • Providing support and assistance to the site team with any other administrative work as and when required.

Required Knowledge, Skills, and Abilities
  • Strong proactive personality with excellent organizational, administrative, with accounting /costing office skills in a steel/industrial setting.
  • Workload prioritization and time management skills, to work flexibly at busy times
  • Experience of MS Office, e.g, Word, PowerPoint and Outlook with excellent/expert Excel skills and experience, use of formulas, vlookup, linking documents etc.
  • Ability to take meeting minutes, distribute meetings, chase actions.
  • Confident communicator, maintaining confidentiality as dictated by GDPR Data Protection in carrying out the above duties
  • Meticulous attention to detail, especially numerical
  • Have the ability to use own initiative, have a flexible attitude and ability to assist in all areas of the company in which capable as and when required 
  • Good general standard of education, Inc., at least GCSE grade 4 or above or equivalent in English and Math
  • Accounting/Costing/HR qualification or experience beneficial

Education:

  • GCSE or equivalent (preferred)

Experience:

  • Accounting/Costing: 1 year (preferred)
  • industrial/heavy industry: 1 year (preferred)
