Office Manager
Job Description
  • Providing administrative support including typing, formatting and copy-proofing documents from reports, drawings and meeting minutes
  • Answering and fielding all incoming calls and emails
  • Managing the office calendar; scheduling internal meetings
  • Taking minutes for internal meetings and external site visits (when required)
  • Assisting with IT support
  • Managing company marketing platforms including social media and website
  • Financial responsibilities including monitoring the online bank account, paying bills and expenses, project invoicing and credit control
  • Providing HR and Training support and assisting with recruitment campaigns
  • Data protection lead: ensuring the business is adhering to GDPR
  • Receiving incoming and coordinating outgoing post
  • Maintaining adequate supplies of stationery and other office facilities
  • First Aider, Senior Fire Marshall

Required Knowledge, Skills, and Abilities
  • Previous office management/administrative experience in a standalone role
  • Highly competent user of Apple Mac computers
  • Microsoft 365 (Outlook; Teams; SharePoint; Word; Excel, Forms)
  • Xero (basic knowledge)
  • Additional knowledge of Total Synergy (project management and invoicing); WordPress and Adobe (Acrobat, InDesign and Photoshop) would be advantageous
  • Strong communication, organisational and planning skills
  • Ability to work on own initiative and without supervision
  • Willingness to support and assist change
  • Interested in continual learning
  • Flexible (willingness to work overtime when required)
