Job Description
The successful applicant must be adaptable, organized and possess excellent communication and I.T. skills. They should have experience in minute taking and electronic diary management. This is a part-time position of 22.5 hours per week and it will likely require a combination of on-site and home based working.
The post holder will be the PA to the Clinical Health Psychology lead, and will also be responsible for collating and presenting project/audit data, and providing administrative cover for colleagues during their absence.
The post holder will provide a fully comprehensive, efficient, proactive and confidential administrative support.
- To provide full secretarial support to the Clinical Health Psychology lead (and Clinical Health Psychology team members as required).
- Take on responsibility for collating and presenting service data as per identified audit projects, including use of visual graphics and charts
- Provide a fully comprehensive, efficient, proactive, and confidential administrative and secretarial service.
- Organize the electronic diary of the Clinical Health Psychology lead including scheduling of appointments and meetings.
- Provide professional telephone/reception services of the Division.
- Establish and maintain robust communication channels with relevant personnel.
- Priorities and be responsible for own workload, to ensure all deadlines for correspondence, production of reports, and agenda items are met within the required timescales.
- Priorities communications ensuring urgent matters are addressed by appropriate colleagues and addressed in a timely manner whilst taking responsibility for dealing with these personally whenever possible in a professional manner.
- Attend and minute meetings; preparing, collating and distributing agendas and relevant papers as appropriate in accordance with Trust policies and procedures within set timescales.
- Undertake preparation of formal reports and business proposals ensuring use of correct format. Copying information ensuring all tasks comply with Information Governance protocol.
- Preparing electronic presentations as required.
- Organize in a timely manner; meetings, venues/facilities and prepare the agendas.
- Taking of formal minutes ensuring a high level of accuracy.
- Arrange transport, hotel reservations and functions.
- Establish and maintain effective networks at all levels, both internally and with external partner agencies. Liaise with other Health organizations, partnership organizations and external agencies as required.
- Maintain high personal standards of work observing strict confidentiality at all times.
- Assist with Clinical Health Psychology recruitment process; collating applications, requesting references, arranging and facilitating interviews.
- To provide cover for administrative support for clinical health psychology team; especially when cover is required for meetings as well as for annual leave and sickness.
- To assist when/ where necessary recording data on the Electronic staff Record system and other Electronic or Paper Trust systems.
- Acting as a central point of contact for queries and support for the Clinical Health Psychology team.
- Contribute, co-ordinate and facilitate on-going project work as required. To work at both hospital sites as required.
- To be flexible and adaptable.
- Build strong working relations with all Clinical Health Psychology team members always ensuring professionalism. Ensuring an effective communication network is established.
- Order stationary, office equipment and stock items as required.
- Utilize relevant knowledge and skills to support Divisional/Clinical Health Psychology goals.
- Able to work on own initiative and to work with minimal supervision.
- Carry out any other duties as deemed appropriate as required for the Clinical Health Psychology.
